Hello

I am looking to find out how other schools report Non-Public Students Receiving Assistance and have them set up in PowerSchool.   

We have students attending parochial schools but receiving speech or title services from our public school.  They are at a 0.05% FTE in our PowerSchool.

The way it has been handled is that the students are in our PowerSchool in a bogus "Grade 15" and reported by manipulating an Excel spreadsheet uploaded to NDE. 

            These students would pull on the Sped Snap, Prog Fact, Title I reports.
 
                         - as we all know, that will not work in 2018-19.

Hoping someone has some advice to prepare for future NSSRS / ADVISER Reporting.

In Columbus we have the parochial schools listed in our PowerSchool.  We do Census reporting for Platte County. Any non-public student that is receiving Title or Sped services are in the non-public school they attend. We get a list of students from the non-public secretary at the beginning and in's & out's during the year.  We have our school number listed in the alternate school field on Schools/Info in District office.  We use the elementary school number that is closest to the non-public school (we have 5 elementary schools and there are 6 non-public elementary schools).  If you have any questions, call me at 402-563-7000 press 9 ext 11584

NSSRS folks,

We have noticed an issue with the Student Grades report when a student has stored grades for a dropped section. In this case the record on the report will have a blank Staff ID, the PS course number will be in the CourseCodeLong field instead of the State’s course number (Alternate Course Code field) and the SectionCodeLong field will contain the SectionID of the Section’s table record, not the section number. The SectionCodeLong issue may not cause a problem, but the issue with the Staff ID and CourseCodeLong will cause errors with the State. The good news is this report isn’t due for a few more months and we’re sure there will be a fix fairly soon.


For your reference, there have been two cases submitted to PowerSource on this issue, #02732523 and #02732799.

Hi,

We are new to PowerSchool this school year and we would like to start keeping track of staff information for the NDE reports in PowerSchool. We would like to enter staff information this summer so that we can run the reports out of PowerSchool next school year.  We tried to run the Staff Demographics, Staff Position Assignments, and Curriculum extract. But when I open any of these reports they all say (No Records Found).

I assume there is a bunch of fields we need to set in PowerSchool for the reports to come out correctly. Does anyone use PowerSchool for Staff State Reporting? Is there a "how-to" document in on how to set up all the fields correctly in PowerSchool to make these reports work?

We currently use PowerSchool to do our Staff reporting for NDE.  You need to make sure on the Faculty Information page that you have the Master Staff Record Indicator set to YES for any staff you want to report.  That field is the KEY that tells the reports to pull data for that Staff person.
The Staff Assignment screen must be filled out for the Staff Assignment report to work.  Email off list and I can help you more if you would like stevensons@discoverers.org

Hi Adrian,
We provide PowerSchool support to 24 school districts and I don't know of any of them that use PowerSchool for the staff report.  For most it is much easier to make the few changes each year in the NDE Portal as opposed to maintaining the data in PS.  I did check with NDE too to make sure the staff report will not be changing with the new data dashboard and they said it will NOT. So districts can continue to report staff the same way they currently are.

I can run the Uniq-ID State ID Request File for 9th and 10th graders, but it fails when I try with 11th and 12th graders. Any ideas why? Is there a limit of how many students it will pull at one time? (Our 9th grade class is largest at 192.) I'm using a start and end date of 9/21/2015, but changing the start date doesn't seem to help. TIA.

The most probable cause of this error is a student account with an incorrect value in the State Student Number field. The State Student Number is 10 digits. For some time now it wont allow you input more than 10, but it can allow you to input less than 10. You could export out the state student number and see if you notice any incorrect numbers. You could also select 1/2 of the group that wont print and keep on breaking down the group till you find the student's record who is causing the problem. I thought this issue had been fixed several updates ago. Please update the post when you figure out what was wrong.

Following Wayne's train of thought, you could do a quick export including the unique ID, then change the font to a fixed-width, like Courier. If there's one that isn't right, it should jump out at you.

Another thing to look for is make sure you don't have a space at the end of the state number. Sometimes when you copy/paste, you can pick up an extra space at the beginning or end of the state number.

I installed the Nebraska State reporting update 14.12.2

Don't Do It!!!

It messed with all the primary disability codes.  the (00) No Verified Disability code is gone so all students with that code have defaulted to (01) Emotional Disturbance.  We are still investigating, and have called Tech Support.  Wanted to get this out as soon as I could .

Has anyone noticed that the State/Province screen has changed.  The field for Alternate assessment prompts you to answer  "No for all student below Grade 03" but does not allow you to choose No as an answer.  I thought that maybe when I ran the report it would populate with a 2 but that is not the case....the field comes out blank.  (This is for just the student's screen I have changed this year....the screen that hasn't been touched is pulling correctly.)
When I looked on PowerSource at the Nebraska Extract Guide, it shows that the alternate assessment field is not being collected (Line 23) but the state documentation indicates that it is (which I believe). 

One more thing, when I extract the report it is still pulling column 48 for Surrogate Appointed.  In the 14-15 template instructions, it is no longer asking for that information.

Any advice or suggestions would be appreciated.  I know I could manipulate the data once it's been extracted but would like it to come out right from PowerSchool.

I stopped putting that info into PwrSchool and pull it straight from SRS (found out some things were "lost in translation" from what was in SRS  on the IEP & the info our teachers gave me to put into SRS  (IE % of time with regular peers -vs- sped peers ---some people read that kind of question differently and have #'s from different areas of the IEP)

The SRS export pulls it exactly as it is in the IEP.

One problem in that though is if there is an error (or "red mark" in SRS) that student will not pull on the NSSRS export until that is corrected.  We are finding it is usually the IEP is just over 1 year or the MDT is just over 3 yrs.

So might need to get in the habit of uploading to NDE monthly to keep those current.  Hope that helps...& hope I don't run into issues with the way I do it...Thanks!

I have not updated my State reports yet so I have not run any reports yet.

Thanks Suzanne...I can sure open up a case.  Do I just do it through PowerSource and tag it a state reporting issue or do you have a way to contact Dawn directly?

Anyone else here have students from out-of-state school districts enrolled? Do they get an NSSRS Unique ID? I'm at a private school that has not yet requested the Unique IDs (I know, I was surprised, too!) and now I need them. But at my previous school, we didn't have out-of-state students.

Do you pull them out of your state reporting data before you upload to NDE? How do you handle districtofresidence field? We have a couple of students from Iowa and I found Iowa school district codes, but I'm not sure what's going to happen when I upload them to NDE for NSSRS Unique IDs. Any thoughts? TIA.

When we have students from other schools the State has always asked who does the assessments if it is not you then don't report them.  Do you assess these students or do they just take a class at your school.  If it is just a class then I would not report them.  But I would put in a helpdesk ticket with NDE to find out for sure.

As a private school, we aren't required to do state assessments, but these students attend Marian full time. I need an Uniq-ID for them in order for a counselor to order an ACT-type test that's mandated by our archdiocese.  I'll submit (another) help desk ticket. Thanks, Suzanne.

Jane, I have used this document a lot when I come across these unique situations.  It sounds like these kids would maybe fall under the "contracted in" status (NDE may tell you different?).  But the document tells you what templates the student should be submitted on.

This has probably been talked about a number of times, but I haven't been able to find the discussion.  I am running (attempting to run) my Student and School Enrollment reports.  They are stalling.  It shows an NA under Started and Pending under Status.

I am sure there is something I am forgetting.  Can anyone point me in the right direction?  Thanks  so much.

Go to System > System Settings > Reset Server. Check the box for Restart the OLAP tomcat service (includes ReportWorks) then select Restart selected services now. Might take about 5 minutes.

Has anyone else had problems running the Student Summary Attendance report?  When I try to run the report, the report queue under the "started" tab it says N/A and the status is "pending".  I phoned support this morning and the recording said that JAVA was creating a problem with ReportWorks and Gradebook and referred me to Article 70834.  I hadn't heard of any talk on the airways about problems with running this report so just thought I would ask if anyone else was experiencing this.  Thanks in advance!

Just go to District > System > System Setting and Reset Server.  May take just a few minutes but should take care of your problem.

I am having a few issues with attendance at our district.  Some of the schools had errors in the calendar setup, some had scheduling issues and errors, and etc.   I am trying to fix everything and get it going before our Student Summary Attendance reports are due.  Out of five schools, I think one is working correctly and has everything set up as it should be!    I know part of our issue is incomplete schedules at one school.   However, I have an issue with one day at the high school that shows a zero for attendance in the ADA/ADM for all students.   The date is the last day of school, shows in-session, shows the correct day and bell schedule, yet when you look, it is already showing no attendance for students that day.    I am including a screen shot here:  (The date in issue is 5/20/14.)





 Any ideas?

Have you checked that your calendar shows 1 for Membership Value?

Membership (your 181) is calculated from the Calendar's Membership Value.

Attendance (160.2) is calculated by the Attendance Conversion that is attached to the Bell Schedule that is set for the specific day in the calendar.

For 5/20, where the Attendance value is 0. I would check the Attendance Conversion associated with that day's Bell Schedule.

Also, the Membership value and the Attendance values should equal for days in the future. The 16th & 19th has 1 membership point, but only allows 0.8 of an attendance point.

Remember to refresh attendance anytime you make a change to the attendance setup.  Special Functions > Attendance Functions  > Refresh Premier Attendance Views Data.

I ran the refresh attendance and I still get a zero in the day for May 20, 2014.   So, when you print out a report, it will show every student has an absence already.   My calendar set up looks the same for that day as the days before.  I wanted to attach a screen shot, but can't in a comment. 

The .8 days are because this particular student has an incomplete schedule on top of this other issue.  It's really fun here this year!!!!

I sent this into powersource, but really need an answer more quickly than their recent response times have been!
