What date does your registrar use when pre-registering new students for the fall? Our registrar wants to use an enrollment date as the day she adds the students to PowerSchool. (Usually the current day.) She says she has always done this. But during the past couple of weeks, the student has changed to Transferred Out status when she tries to pre-register them. I am trying to encourage her to use the first day of the fall term but she says she can't manage them as she usually does. As a private school, the president and principal always want to know an exact enrollment number at any time. We are using an "Admissions" school this year. I haven't run EOY yet but we have committed the new schedule. What date do you use for enrollment date? TIA.

As you know we are also a private school system. We just have always used the first day of school as the pre-enrollment date.  We like to try to keep it simple and that has worked for us.

It makes things a bit difficult in between school years because you have to remember to do "/" to include pre-registered students in your enrollment counts.  

Assuming you have completed the Run Year End Process, I'd suggest using the first day of school for 2018-2019 as the enrollment/entry date.  That will keep everything consistent relative to entry/exit dates come the end of 2018-2019 and help avoid school and section enrollment errors from coming up down the road.

As you note, that does give you some odd status issues (frequently they show up as Pre-Registered even if the Run Year End Process has been completed).  You can fix that for affected kids via the /tech/usm option and changing the Enroll_Status field value to 0.  After submitting the new value, the student will show up on the "live" side and be included in current enrollment numbers.

I just completed EOY process and our incoming freshmen are now active (no longer pre-register status). Could our registrar enroll new students without using the pre-register option? Choose an Entry Code of OE (Original Entry) rather than Pre-Register with an entry date of first of school? We just want all the new students to show as active for reports. TIA.

I am looking to find out how other schools report Non-Public Students Receiving Assistance and have them set up in PowerSchool.   

We have students attending parochial schools but receiving speech or title services from our public school.  They are at a 0.05% FTE in our PowerSchool.

The way it has been handled is that the students are in our PowerSchool in a bogus "Grade 15" and reported by manipulating an Excel spreadsheet uploaded to NDE. 

            These students would pull on the Sped Snap, Prog Fact, Title I reports.
 
                         - as we all know, that will not work in 2018-19.

Hoping someone has some advice to prepare for future NSSRS / ADVISER Reporting.

In Columbus we have the parochial schools listed in our PowerSchool.  We do Census reporting for Platte County. Any non-public student that is receiving Title or Sped services are in the non-public school they attend. We get a list of students from the non-public secretary at the beginning and in's & out's during the year.  We have our school number listed in the alternate school field on Schools/Info in District office.  We use the elementary school number that is closest to the non-public school (we have 5 elementary schools and there are 6 non-public elementary schools).  If you have any questions, call me at 402-563-7000 press 9 ext 11584

The registrar accidentally enrolled a student into the wrong school. We have an Admissions school where we are enrolling all new students for next year. They will be transferred to our main school at EOY. This student was enrolled into our current school, has an enroll_status of -1 and entry date is 8/17/2018. She has no course requests and the only record I can find in DDA is in the Students table. Can I just change her SchoolID field in DDA > Students table to the correct school? TIA.

schoolid
enrollment_schoolid

You will also want to reset the FTE as that is unique to the school and will not carry over to the new school.

We are new to PowerSchool this year and during implementation we set up our Entry and Exit codes as what was listed in the Nebraska State Reporting Setup Guide.

Entry Codes
100 Still Enrolled Still enrolled in the District.
101 Original Entry A student enters a school for the first time.
102 Transfer In Transfer in from a school, institution or home school setting.
103 Re-entry Re-entry after a withdrawal, whether voluntary or involuntary
Exit Codes
200 Transfer out – Intra-District Transfer out - within the same district.
201 Transfer Out Transfer out of the district.
202 Drop Out: A student who withdrew for personal or academic reasons.
203 Completer: Diploma A student who completed an approved program of study and met district/system requirements for a high school diploma.
204 Completer: No Diploma
205 Not Enrolled, Eligible to Return
206 Deceased, A student who died.
208 Maximum Age A student who passed the age for which the state guarantees a free, appropriate public education and subsequently exited school.

Now were are getting ready for EOY and I don't know what Entry and Exit codes to list for EOY. My best guess is this picture below.


Can someone help me know what Exit and Entry codes I need to set for EOY and be accurate for State Reporting?  Or do you have your own custom Entry and Exit codes for your school?

From your screen shot, your codes are exactly right. Your graduating seniors will exit with a 203 (completer) code then move to the graduated students school. The rest of your students will exit with a 200 (intra district exit) be promoted then re-enrolled with a 100 (intra district entry) for the new year.

Any students that are not graduating but leaving for other reasons will need to be exited with the appropriate code individually.

Be sure to have your students set to promote correctly on the Schedule Setup student page.

I leave all the Exit Codes blank except for Graduating. Here is the description of code 200 according to the NSSRS Student Guide. Unless you have more than one high school, middle school, or elementary school in your district, you will never use code 200.

• A student who transfers between schools within the same district/system.
• Do not use for end-of-year grade advancement.
• An entry enrollment code of 100 Still Enrolled should accompany or follow any exit enrollment code of
200 Transfer out – intra-district within the same school year.
Only use the 200 code if the district has more than one school offering the same grade.

The registration secretary recently enrolled a new student who is transferring to our school in January. She shows up on the admin side as pre-registered with the entry date of 01/06/2014. Her enroll status is -1. But she's showing up in teachers' Gradebooks for the S1 term. (These are yearlong courses.) The teachers were all confused, thinking they have a new student in class, and she also shows up under attendance. I verified in a teacher's Gradebook that she is showing under active students.

She shouldn't be showing up in Gradebook and attendance if she's not an active student, right?? Are we enrolling the student incorrectly?? TIA.

I'm posting my answer, in case anyone else comes across this issue where a pre-registered student shows up in PT Gradebook before active date. There's a setting in PT Gradebook:

Go to Gradebook Preferences.
Click the Student tab.
Check the box "Hide pre-registered students."

Is there a way to print a drop/add list for the current year? I have an administrator requesting a list of all the students who've dropped or added classes for the current and upcoming semester since the beginning of the school year. Is there a canned report or a way to export from DDE? TIA.
