PowerScheduler - Student Request Screens - Dustin Favinger

Those of you who know me already know that I have very little hair left to pull out...I am working on scheduling for next year. I am having trouble getting the student request screens to display properly.

I have run the setup and copied my registration screens from last year. When I preview the screen and when I actually log in as a kid, it does not list the courses to choose from. I click on the 'pencil' icon but the box that comes up does not list any classes.

I have tried multi-class requirements, I have tried single class, etc. I have tried different course groups as well. Even tried firefox and IE to make sure it was not a browser issue.

Has anyone else had this issue? And better yet, how did you fix it?

Ethnicity and Race - Greg Boettger

I am not sure if I have done something wrong or not, but I was wondering if anyone is seeing the following. When I go in and mark a students race and submit, the check boxes go away and are blank. I go look at the student race table and they are there. Then I go back into the same student and check the boxes again and same thing happen except when I go back tot he Student race table, there are duplicate records for the same student.

Has anyone seen this at all? I wonder what I am doing wrong.

Trouble uploading to NDE - Kathy Rowell

I have tried to upload my student filr to NDE and keep getting an error that the submission (student) is not available in the current selection. The only thing it will let me select is National Assessment. I thought Students could be uploaded any time. Don't I have to upload student before student enrollment? I have to do this by Feb 1 for the NeSA labels?

New NSSRS Curriculum Report - due 2/26/10 - Wayne Wiens

Pearson released the beta version of the Curriculum Report last Tuesday, 1/12, to the beta testing group. This small number of users have until next Tuesday to report their findings to Pearson. So it will be awhile before the report is ready to go.

At this point, it seems the general consensus of what is best for most schools THIS YEAR is to use the file you can download from NDE. This downloaded file will contain the information that was on the report last year, plus it will have added new staff and removed staff that have left. With this file, you will have to massage the data by reflecting any changes in this year's schedule. You will also have to add the minutes taught.

To use the PS Curriculum Report, besides loading the files, there is quite a bit of other work involved. The main task is entering all the state's course ids into PS's alternate course number field. We still want to move forward with this report at this time so we can get the bugs worked out and the state course numbers entered into PS.

Help - Standards and Report Cards - Gary Warner

We started standards on our Elem Report cards last year. This year the Q1 was ok. Everything ran great. The teachers used powerteacher to put in the standard grades. This quarter, we showed the teachers how to put in standards via gradebook. We tested this all out in Nov/Dec on one school. Everything was working by the time X-mas came up with just a few very minor issues with comments(fixed by the the patch). Now Report cards are due to be printed. The school that we did the testing on, works. All standard grades are showing up with regular grades. The other schools are not. Their regular grades show up but not standard grades. We have been comparing the schools and can't find anything that is different except the Reporting Segments which I have changed to match the school that works. Nothing still. We are storing the standards via the System/Store Standard Grades. The admin who did it for the school that works, confirmed that we are doing all the step correctly. I have verified that the standards are in via DDA and on gradebooks but have not verified that they have been stored as historical as can't seem to find that.
Any one have a idea where we can look to get the grades on the Report Card?? Codes are all write and match everything else. We are trying to show a Q2 standard grade on the report card.

Changing a kids grade level at semester - Greg Boettger

We have a first grader who will be moving to the second grade tomorrow. I was thinking of going into the transfer info and changing his grade level however, that would make him appear as if her were in the second grade all year. Does anyone know how to do this correctly so I dont jack it up.

Student Health/Medical Information - Bryan Williams

A while back I saw some questions flying around about how a district would store health/medical information of students in PowerSchool. There were a couple of ways to do this, either use a third party system or create custom pages/screens with all the necessary fields in PS for your data. I was never really a fan of either but with the release of PowerSchool 6.1 and Health Management, it may satisfy the requirements you are looking for to manage your student’s health records. If you want to implement this in your district, download PowerSource article 59166.

If you want to take a quick peek, here are a few quick notes on setup. All immunizations, screening and grade level entry certifications are defined in the district office under District Setup. You must enable the “Health” screen for each security group. System --> Security --> Groups --> Select Group (example Nurses). Now give appropriate access rights to that group. I gave our nurses View/Modify/Delete for Certification and Screening and View/Modify for Immunization under the Health and Immunization section. Don’t forget to check the checkbox “Health” under the Accessible Student Screens for access on student pages. Scroll and hit submit. As with Incident Management, I believe you will be able to generate reports from ReportWorks at a later date.

Gradebook - Gary Warner

Got a simple questions but just don't know. My teachers on the gradebook want to see a class with the Q1,Q2 adn S1 grades right next to the names. They can change to each time Frame - Q1, Q2 or S1 and see grades but would like to see in a row. They would like to do this so they can do a quick sanity check on the final grades. By having them all in a row you can see if someone has a Q1-80, Q2-85 then S1 should be around 82 or 83.. Of course depending weighting and stuff. how do you do this??

State Report Updates - Kris Schutt

I received the notification from Pearson last Friday regarding the updates for state reporting. The release notes stated that the new page for entering the National Assessment information should now appear on the student pages, as well as the Assess Fact National Instrument state report. I do not see either one. Do any of the rest of you have them now and if so can you tell me what to do to get them? I have my update server set correctly and all the correct boxes checked as far as I can tell. Thank you for any information!

If-Then Statement/Hard Return - Peggy Medema

I've been trying to come up with an Activities Report that would list all the sports, etc., that a student had been in for the year.

I used an If/then statement to determine if a student had been in an activity:

^(CC;if.not.blank.then=Cross Country)

I put in a statement like that for each of the activities we have. I wanted to put in a hard return to separate them, but only if there was actually text present, not after every if/then statement, so I changed it to the following:

^(CC;if.not.blank.then=Cross Country<br>)

By golly if it didn't print just the ones that returned a value!!

I'm so excited about this and there's no one else geeky enough around here to be excited with me :~D

Storing grades for ungraded classes - Peggy Medema

For example. In Elementary, each student has three standards they are assessed

on duringg Q1. They do this in the gradebook under final grades.

Title 1 Kids - Kris Schutt

I just found out we service 2 Title 1 kids that live in our district but attend a non public school not in our district. One receives 40 min/ 2x per week and the other received 20 min/2x per week. Does anyone have ANY IDEA how to set up attendance/FTE for these students?

Automatic Emails to Parents - Jayne Hoban

Emails that are to be automatically sent to parents who have signed up to have grades, daily bulletin, etc. sent to them is not working since we upgraded to Premier. If the parent (or us as administrators) click on the send now, it will send one immediately but will not automatically send them daily, weekly, etc. as marked. From what I can find for help on this, things are set up correctly on the parent page if they will come thru when send now is clicked. Any suggestions out there???

Has anyone ever been able to run District Wide Reports for ADA/ADM. I tried running them and I get a ALERT No current school set. Select a school first. I selected the grades I wanted and still get the Alert. If this is not possible does any Superintendents Secretary have suggestions on how they run reports for there District.

Attendence numbers - Gary Warner

Hello, We have a problem with one of our Elem Schools in attendance. They are reporting attendance twice a day AM, PM. If a student is absent just the morning or afternoon it counts it as 1 day missed, if they miss all day, then it counts as two days absent. I know it has to do with FTE but don't quite what to change. Any help??

NSSRS report version - Rhonda Hoyt

ADA/ADM BY STUDENT NOT GIVING A DECIMAL IN THE ABSENCE COLUMN - Greg Boettger

I ran my ADA/ADM by Date yesterday and ran from the beginning of school year till 9/30 and the report ran fine. This morning I ran the report for dates 9/1 - 9/30 and I got zeros. I then ran the exact report I ran yesterday and got zeros. I have been on hold with PowerSchool. Any suggestions?

Hello Everyone,

I need help on the Early Childhood Programs Fact in PowerSchool. I enter them under Enrollment-Special Programs there you have a choice to add New. I have students that were on the program last year and some new kids this year. Those that were on last year, do I need to exit them from last year and add a new year for this year or do they just stay in? I do have kids that have moved and are not attending this year so do I have to show an exit date on them?

Kindergarten Report Card Data Tags - Peggy Medema

I'm scrambling to get a Kindergarten Report Card (object report) done by the end of the quarter. I have all my standards set up, but I'm not sure how to format the data tags correctly. I want the teachers to be able to enter a check mark once for each standard and have it show for the whole year. Do I have to have a check box for every quarter, or can I have one for the year that will print at every quarter?

If I have ^(*std.stored.transavg;M.0.R.1;Y1) will it always pull regardless of which quarter I'm in?

NWEA MaPs Export - Brian Gibson

Here is a pst file that will export names from PowerSchool for creating your CRS file for MaPs testing.

To use go to Special Functions - Importing / Exporting - Export using a template - Student Schedules - NWEA

Make sure you select the students you want to include or it will use ever student in your entire database.

This export will give you a good base but you will still have to go in a tweak your columns with some data.

Course numbers in Teacher's Gradesbooks - Diane Focken

We have set up a course in Power School labeled Elementary Music and then set up different sections for the different grades, such as 1st grade - section 1, 2nd grade - section 2, etc. However, when the teacher goes in to put the grades in her gradebook all she sees is 7 Elementary Music courses with no course or section number. Therefore, she has to click and open each course to see which grade it is associated with. This is just one of several elementary classes set up this way. I was wondering how other schools set up these courses or if there is way to see the course/section number in Teacher Gradebook. Thanks.

Gradebook link - Gary Warner

Thanks all for the help in getting a link for teachers and grade. I have 2 teachers out of 80+ that can't seem to get it on there computers. I have checked it out and it is driving me crazy.

We checked all the pref and when we click on Gradebook from powerteacher, we see that the link is downloaded to where ever. It opens and everything is find. We close gradebook and the file disappears to the unknown. Not in trash or anything. So we click on the link again from Powerteacher. After it opens, we copy that .jnlp file somewhere else. Close everything, then try to click on the .jnlp file, we get the login for the gradebook but it will not accept the password/login combo. Says a bad password but it is right. Just these two computers it is happening to. One is 10.4 the other 10.5.8. i have spent an hour looking at all the java, web settings and everything but no joy.

Any help out there?? (Pink Floyd)

Adding Teacher to Class - Gary Warner

We have a teacher who is leaving as he is going to the Middle East for Guards. Another teacher is taking over for him. We need to add her to his class and see his gradebook and be able enter in grades while he is gone.
On the same lines, have resource teachers who need to be able to see certain students classes and grades for helping out the students.

If someone helps me out on that those, I might have a cookie for ya.. LOL

Creating Quarter long classes - LuAnn Schauda

We have quarter long classes for our Jr High. The teachers are having trouble using the grade set up in their grade book. I'm sure it is something to do with the way I have the quarter classes set up. If anyone can help with this it would be much appreciated! Thanks!

While I'm on this topic I know I had trouble last spring getting 1st and 2nd quarter classes to print on the final report card. If you have suggestions for this I would appreciate any you could give for this as well. Thanks again for the help!

Does anyone know of a customization for PT that would allow a teacher to click on something and see all the students in that class and all theri attendance for the last wekk or two. I know you can click on the kid and see theri attendance, but it would be nice to see it for all the kids on one screen. Just checking.

I'm trying to print a report card for a 2009 graduate. I thought the easiest way to do that would be to go to last year and print the report card. When I went into last year it is showing me the 2009-2010 seniors. With further looking, no matter what grade I select it is showing me this years classes. I have done a search for last years seniors and power school is not pulling them. I'm sure this is an easy fix but some of this power school stuff is new to me and I would appreciate some help if anyone knows what to do. Thanks!

Uploading files to PS Community - Graci Gillming

If you'd like to place a file or doc on the Community, you need to post an new article, i.e. it can't be done via a comment. Once logged in, click on Publishing, then Add New Artcile. In the editing tool bar click on the Document Manager button , which will allow you to upload a document.

Pictures can be done similiarly by clicking on the Image Manager button

For both of them, if this is the first time you've uploaded a doc or image, you'll have to:upload it to the community server, so the steps would include:

clicking on the appropriate button
select Upload in the tool bar
find the file and select it
click upload
make sure the file is selected
click on Insert in the lower right corner of the window.

For images, there is an image editor where you can reduce them in size to make them fit better in the community window.

If you want to post a new question to the Community, it's best to do it from the Publishing link in the navigation bar rather than making a Comment.

Click on the . button and enter a title as well as your question.

Slide to the bottom and click Save as Draft. You'll see how it will look if Published. If all looks good, click on the pencil above the article to enter the edit mode again. This time, click Take out of Draft Mode at the botton and at the bottom of the new window, choose tags that are appropriate or enter a new one if none of the existing tags fit.

Then click on Save Article at the bottom and it will appear to the rest of the Community.

Java launches to Text Edit - Peggy Medema

I have one teacher who can't seem to open her grade book. She can log in just fine, but when she attempts to open the gradebook, it opens to Text edit.

It doesn't seem to make any difference what web browser she uses. I've compared her Java settings to mine and they appear the same. I can log in as her on my computer and it opens just fine.

I'm at a loss. Any ideas???

Publish a Report in Report Works - Janet Kuszak

I have created a simple report in reportworks, using the limited fields Powerschool has made available, but I was able to get the majority of the information needed in the report. When I go the publish the report, the Application and Category drop down sections are defaulted to No Applications and No Categories. When left at the only selection available, I get an error message stating "Not ready for Publishing An Application and Category must be selected" Does anyone know how to fill the drop down selections with Select the SIS from the pop-up menu. Also, according the help menu, Categories are created in the SIS application. When new categories are added, this list is updated dynamically and the list is refreshed each time the Publish window is accessed.

As it is now, I have a report but cannot use it until I can find how to apply an application and a category, so any input will be appreciated.

Reportworks Question - Brian Fleischman

I was experimenting with Reportworks, finished my document, published it to Powerschool, and tried to print the file. The print queue just keeps running and running, it never completes the document. Has anyone else been working with reportworks and been able to print their documents or have you run into this same situation? Reportworks is easy to create items, but if I can't print what is the use.

Exporting directly into excel - Kris Schutt

I had PowerSchool in Firefox set to open export files directly into excel when we were on Microsoft Office 2002. We recently upgraded to Office 2007 and neither I or our IT guru can get it to export properly.

Has anyone else experienced this problem and do you have a resolve?

Other Parents Custom Screen - Chris Ericson

One of our secretaries was at the PS workshop in Omaha the Wednesday before NETA and saw a custom screen which someone was using titled "Other Parents". It had fields for guardians, divorced parents, etc.

I sent my report through the Portal and made it all the way through the validation and had 1 error on an students CEBUSMGT Not Applicable CE0003

I know it should be Meet Technical attainment through locally developed criterion CE0003.

Is this what you told me to make sure and watch! I was trying to be so careful and missed this one. What now? Is this something I can re-run and fix or does the state.

I'm trying to set up my Middle School to load. We have several new teachers next year, so I'm trying to put their schedule in. I set up the years and terms already. When I go to associate the new section with a term I get the individual quarters, but not the whole year. The teachers I imported from last year show the years. What did I do wrong?

When I run my Student Summary Attendance Report from PowerSchool for the NSSRS, any attendance codes that I have left as A(Absent) are reported as "Days Truant". Is this right? If not what do I need to do to correct this?

What dates should I use to run the Enrollment Report? If I use the beginning of school and 6-30-09 I don't pick up any exit codes. If I use the beginning of school and the last day I only get entry records no exit records.

Membership/Attendance/Half-day Kindergarten - Peggy Medema

Every year I get a little closer to getting this right, but I'm not there yet.

We have a morning and an afternoon session of Kindergarten. Attendance is taken in Morning Homeroom or Afternoon Homeroom. I set up a Half Day Attendance Conversion to deal with this, but I think I need to take it a step further and do 1/2 Day AM and 1/2 Day PM.

Here's where the problem comes in: When we dismiss at 11:40 for holidays, there is no afternoon Kindergarten. They have a membership day, but no attendance. Also, I set up some attendance conversions for late starts due to weather so that it would figure correctly. I didn't apply those to the Half Day Conversion because a 10 a.m. start doesn't affect Afternoon K. The result it that I have 167 membership days, but only 157 attendance days for Kindergarten.

So, I guess what I'm wanting to know is if you guys think I'm headed in the right direction? If I set up 2 separate 1/2 day attendances and apply the late start/early dismissal attendance conversions to them appropriately, will I wind up with the right number of membership/attendance days?

I know as soon as I get this figured out we'll go to all day Kindergarten :~D

Custom School Reports - Chris Ericson

A while ago, I added a custom page that has a link in the Reports screen called School Level Reports. This screen has a bunch of links set up for customized reports to use at the school level. My problem is that I can't remember where I got the .html files from to add to my custom folder so these work.

NSSRS - Reporting out-of-level-assessments - Peggy Medema

This is more of an NSSRS question than it is a PS question, so I'll apologize for that in advance.

We had a couple of high school kids move in from elsewhere in the state and their old school sent along their assessment data. One of them is a Junior and has quite a number of grade 11 assessments completed.

Am I responsible for reporting those or is the old school? I think that they are, but my admin thinks that we do it. The bigger question probably aims more at the younger sibling. When he gets to be a Junior, do we act like those were our assessments or not?

And how about other out-of-level assessments for kids that have moved? Someone who took something in Algebra I in 9th grade and then moved away? They wouldn't be in my student report, so if I add them to the assessment reports, I'm going to get an error.

I'm not sure how to handle this and would like some input as to how other schools are handling it.

How I fixed a negative number error on my ADA/ADM by Date report - Jane Davis

In one of my schools, my secretaries were getting an error in the ada/adm by date report.

They were seeing a negative number in the report.

10/20/2008   MON (A)   40.00  -32.00

The work fix to this error was in the report setup.
I could not leave default settings for

Attendance Mode

Attendance Conversion

I had to define them. When I did define them, then my report worked and I got positive numbers.
