I was curious if anyone could help me with one or both of these questions. I am setting up attendance from scratch and need some assistance. Can I:

1. Set up attendance so that in the elementary if a parent calls in a student sick, I put and Absent code in and if a student comes in late, I put the time in they came. Then ada would add up the minutes absent and convert to days missed.

2. Is it possible to have a tardy code count in ADA/ADM? Currently, out attendance method is set to Period to Day attendance and I can not get Tardies to calculate correctly as being an absent code when we use period to day attendance.

Not sure if I have made sense, but I sure could use a little help on this. Thanks

With Period to Day, some elementary schools I work with use 1/4 of a day periods or 1/2 day periods. A tardy is counted as present. Each school has a time determined when it is no longer a tardy, but an absence.

Does that make sense? The 1/4 day periods is probably a little more accurate.

Conversion for 1/2 period days:
Absent 0 per - 1
Absent 1 per - .5
Absent 2 per - 0

Conversion for 1/4 period days:
Absent 0 per - 1
Absent 1 per - .8
Absent 2 per - .5
Absent 3 per - .2
Absent 4 per - 0

One school I work with uses Code to Day in the Elementary.

There codes and conversions are:
Present - 1
Tardy - 1
Absent - 0
Absent Excused - 0
Absent Unexcused - 0
Medical - 0
School Activity - 1
Testing, visits, etc. - 1
Left Early - .1 (they must want to keep track of this, other wise you could use 7/8)
In School Suspension - 1
Out of School Suspension - 0
1 eighth - .9
2 eights - .8
3 eights - .7
4 eights - .5
5 eights - .3
6 eights - .2
7 eights - .1

You may want to revise it as I'm not sure how they keep track of Medical appts where they are only gone for an hour or 2. Maybe on paper; it's a small school. Plus you may use codes they don't & vice versa.

When you run the ADA/ADM by Student report, it calculates it by day. The ADA/ADM by Minutes is by total minutes not minutes per student.

Not sure what to tell you on the Tardy. It seems that this school counts them present all day if they are tardy a little bit. If they miss 1/8 of the day, they assign the 1/8 absence, not a tardy.

Hope this gives you a guideline to help you.

This does. Now I need to see if I want to change the way we do attendance now that we are a quarter in. May mess things up. Was thinking of going from Period to day to Code to Day. One more question. I noticed that the Tardy Code had a 1 by it as well. Is this just so you can search points from the main student screen. If so, how are you searching these....Do you use Attendance_Points>2 for example

I would probably wait until next year if you change. Otherwise, call PS & see what they suggest. In a small school you could print a report of all the absences, change the method and reenter, but I think you are in a big school which would make it a lot of work.

I ran the most recent update from powersource for state reporting so my report would incude grade level, but it still shows 1.0. I thought is was supposed to be 1.1

I installed the latest and it is still showing 1.0. Is there something I missed. I updated resources and still the same thing. The download from PowerSource is 2011_06

Is this the one you downloaded.

Try restarting the server.

    Is anyone else seeing that the Days Enrolled column is blank. Either that or it should not be in the extract. I knoe it was blank last year. I upladed my template and I had a validation error. Not sure what it is as none of the records are in red so my assumotion is that it is the days enrolled column.

Let me know if anyone is having the same issue. The report version is 1.0

Does anyone have a report that lists all the Test's that have been imported into ps and list each one of their scores.

Am trying to get an easy way so admin do not have to go click on each test to see the scores..Just a one stop shop.....If you got one, I would love to have it if you are willing to share

I am looking for a report that would allow the Teacher to go into PowerTeacher and print attendance for their whole class. I do have the customization from powerdata solutions that allows them to view attendance, but it would be nice to have a report they could print as well for one or the whole class. Anyone have such a thing.

Ok, has anyone figured a way to det the health immunization data back out of Powerschool. We have imported all our health immunizations into PoerSchool from our old custom screens and now can not print a report with dates. Trying to be a bit proactive before I break the news on this to the High School. I had heard we may be able to do this with SQL. Anyone have an idea or is this another sit and wait game?

Does anyone know if it is possible to create a report that will pull all login

and passwords for all kids in a single family rather than printing a single

report for each kid. Looking at sending a mailing home for the family with

instructions for the single sign on. Would be great to have a single report to

pull all from a family. Not sure if anyone has done this or not. I am sure we

can export and group them together, but it sure would be nice to print a single

letter off to send to each family.

I am wanting to pull 2009 and 2010 S2 GPA of students who are currently in the 9th grade. I am not having any luck as these students are not in the same school that they would have earned these in. They are in the high school now and I want their S2 gpa when they were 7th graders and their S2 gpa when they were 8th graders.

I went to our HS and selected the 9th graders and exported the following with no results

Any help would be appreciated.

I'm not sure if this would work, but would you need to change your "Historical Grade Level" in School/School Info to get the previous GPA to appear?

If you are seeing this, please call PS and submit a case. They have decided that this is a known issue and will get a fix for it at some point. I would like this point to be ASAP as this has caused many issues for many people in our district and I am sure if you are experiencing this, your district would like the fix ASAP as well. The more people calling, the better. Thanks in advance

Since I am about ready to do this report, I thought I would ask how others are going to do this report. The rules have changed a bit. From what i understand, I need to look at last year and go off the days we had school last year. I was also told last year that the seniors leaving ealry did not count against their instructional time and this year I am being told it does.

I just want to be consistant with how others are doing it....

Not sure if this is what you are talking about, but I found this in my notes from the NSSRS session at ESU #10 PS Conference in August.

" Seniors need to be excused absence after they graduate for state aid purposes. NSSRS doesn’t matter. "

Another thought. If you put excused absence for seniors after they leave, how will that affect the Excessive Absenteeism Monthly Collection report?

In the numerous conversations about this wonderful excessive abesnce report, I reember someone saying they wiil run the Attendance Detail Report. I do not see that actall title or am I missing something. Anyone point me in the right direction please.

It is a reporting engine report that I got from, I think, PowerDateSolutions.  It is wonderful to send with attendance letters, give you date, period, reason and comments for attendance.

I found this report and got it loaded....nice!!!  I really like the comments portion of the report but was wondering if the only place you can add a comment is through hand selecting the student and doing an attendance change.  This is the only place where I can find to add a comment...not very convenient.  Is there another way to add a comment?  Thanks!

Hi Lori,

When I enter attendance in the morning or if someone leaves during the day, I use the "Change Meeting Attendance" screen and leave my comments there.  Takes a couple seconds longer, but I think it's worth it when it comes time to notify parents of attendance issues.

So, i just found out today(funny how the guys who needs to know what is going on is usually the last to find out) that we are going to use Review360 for discipline in the elementary. One part of the export they need is

Is hispanic/Latino: can use the fedthnicity code for this

How can I get the following to show up as a seperate column. I know I can go the students race table, but adding Racecd to an export gives me nothing.Anyone have an idea

You have so many students compared to the small schools I work with so I don't know if this is feasible or not.

Are you familiar with the =LOOKUP formula in Excel?

You can export StudentID and RaceCD from the Student Races Table. When I tested this, I exported Student_Number, lastfirst, and id from the student table. I then copied the 2nd export to the 1st export file. I copied and arranged the info to look like this:

Column A: StudentID  B: RaceCD   C: formula for name   D: formula for student number   E,F (blank) G: lastfirst   H; id   I (blank) J: student_number   K: id

In Column C, Line 2 - I used the formula to get their name =LOOKUP(A2:A357,$H$2:$H$357,$G$2:$G$357)

In Column D, Line 2 - I used this formula to get their student number =LOOKUP(A2:A357,$K$2:$K$357,$J$2:$J$357)

That matches your student names & numbers to your StudentID and Race CD. Students who have more than one race checked will have more than one line.

You can then copy and paste Columns A-D into your file with the fedethnicity info. When you paste you will need to use the popup menu of the Past Options "clipboard" and select Values Only. You will need to sort what you pasted  by same field your fedethnicity file is sorted. Then you can add/delete as needed. I don't know what format you need the file for the Review360. Is there only one field for Race?

Let me know if this doesn't make sense.

I want a quick way to search for the number fo students who were absent greater

than 10 days for last school year. Any help would be appreciated. I think the

way I am going about this is not a very efficient way.

Not sure it it is the MOST efficient way, but I export using ^(*dabs) to excel, then filter down to 10. 

Kris, can you tell me what kind of export you set up for this?   I am thinking this would be the easiest way for our new District attendance Monitor to track attendace.   I can't believe there is not a simple report and search for days greater than5 and 10.

A few options:
- run the ADA/ADM by Student while including Absences, then look through the report or paste into Excel and sort.
- Special Functions > Search by Grades/Attendance and search All Absent Codes >= 40 Periods (assuming 8 periods/day). This will allow you to create a Current Student Selection.
- If you have Custom Reports Bundle loaded, there is a similar report called Attendance Count by Student, Year & Code. You can sort by Days.

Issue 1 is that staff id's and passwords are dissappearing. This is a known issue. There are two fixes according to articleid 61135, The second is in a comment under the article and did work for me. I just choose not to put it in my custom folder as I hope they have a fix soon for this. Causes issue. Just make sure if you see this not to submit the teachers security page or you will blank ou the password. Just refresh the screen

Issue 2: For those that use image servers. If you upgrade to the new state reports, be sure to copy your images and scripts folder to it as well. Otherwise it no "worky"

Issue 3 is the new unique ID report. I have submitted a case and the number is
00746578 - Unique-ID State ID Request File report does not have correct record count and transmission ID error

On the new report for student id's

the last record is supposed to have a record number count that includes
the header and footer in the count. The count that it gives excluded the
header and footer so it is always two off.

Second thing I am unclear on, but the error I get at the state is the following
Upload failed for the following reasons:

The trailer record in the uploaded file is missing a Transmission ID.

The file you attempted to upload has been saved to the database and can
be downloaded using the Extract & Download Batch feature. The batch
number assigned to this file is 86929 Fix The Above Errors And Resubmit
New File
Contact DE for Assistance.

When I look at the header and footer, there is a Trans ID and they are
the same number. I am wondering if the TransID is in the wrong field number or not seperated by a tab.

Ok, some days i feel stupid, but I have downloaded the new reports and restarted both PS and Tomct. I go to the new state reports and click and nothing happens. Myabe this is a glimps into how this year will go with state reporting. Does anyone have an idea on what step I may have missed. I went through the documentations and can nto figure it out. Maybe need a bigger hammer.

You are using the new reports with ReportWorks? The old legacy reports wouldn't work if you were using Custom Management and had customization turned on.

Don't know if that's an issue with the ReportWorks, but something you can try.

I am not using custom page managment. I must be missing something. I go to reports, state reports, and click on the student report and nothing happens.

Do i need to do something different?

I tested the state reports in a school; and when I click on one, a popup window appears to fill in parameters (dates, school, etc.) I think I read somewhere that whenever you change your ReportWorks Preferences, you need to restart Tomcat (which you have already done.)

I copied this from PowerSource Nebraska State Reporting Tech Notes - Monday, August 2, 2010 which you have probably read, too. I would probably create a ticket in PowerSource or call them.

"What version of PowerSchool is required? To make use of this new State Reporting Platform, Nebraska districts will need to move to PowerSchool version 6.2.1 by August 15, 2010.

The updated Nebraska state reports that run on the new State Reporting Platform are targeted for release in the August 13, 2010 state reporting release.

LDAP Users Please Note: Due to an issue found with LDAP and State Reporting Platform, the minimum PowerSchool version required for LDAP users will be PowerSchool is targeted for release the first week of August. Nebraska LDAP users will need to move to PowerSchool version no later than August 15, 2010, to ensure functionality with State Reporting Platform.

Is any additional setup required?
The new State Reporting Platform reports are integrated with the ReportWorks component in PowerSchool.

•If you have already configured ReportWorks Preferences, no additional setup is required.
•If you have not configured ReportWorks Preferences, please refer to the "ReportWorks Preferences" section of the ReportWorks Setup Guide. This section will provide steps for configuring the scheduler node for the report queue. As a reminder, please restart Tomcat nodes in your environment after configuring ReportWorks Preferences."

Pearson PowerSchool will cease to be compatible with Mac-only database servers at the end of 2010.
Education industry giant Pearson says its PowerSchool student
information system (SIS) software will cease to support Macintosh
database servers by Dec. 31, forcing Mac-using districts to make some
tough decisions.
The announcement came as a surprise to many people, especially because PowerSchool
was an Apple product before Pearson bought it from Apple in 2006. Apple
earlier had acquired PowerSchool, a leading SIS product for Mac-based
schools, from its eponymous owner in 2001.
PowerSchool runs on an Oracle database.
While Oracle issued a Windows update some time ago, Mac users are still
waiting on the Oracle 11g update that would let them run PowerSchool.
“To maintain our commitment to providing great software, we need to
upgrade to an Oracle version that does not support Mac servers,” Pearson
said in a letter to PowerSchool customers that outlined the issue and
gave schools several options.
“New customers, and existing customers who want to upgrade their
hardware, would find new Apple servers are incompatible with the current
Oracle database. Oracle has not provided a date by which the current
version of the Oracle Mac Database will be certified on Mac OS X 10.6,”
the letter said.
Pearson said it has “limited options” for school districts operating on Mac servers.
The letter advised that “all Mac customers should make plans to
replace their Mac database servers with a Windows-based database server
(physical or virtual). Pearson will discontinue support for the Mac
database server effective December 31, 2010.”
Pearson said it will evaluate Mac support options if Oracle issues a Mac-compatible 11g version.
Customers using a Mac database server are eligible for six months of
free hosting if they choose to move to a cloud-based implementation of
PowerSchool, eliminating the need for a new server purchase. Pearson
would be responsible for all software upgrades, backup, and restoration
in its hosting environment. That offer expires on Dec. 15.
It would be difficult for Pearson to add a new Mac-compatible
database to PowerSchool, the company said, because alternative database
options for the Mac OS are limited and do not offer Oracle’s
performance. Also, offering an additional database would mean
large-scale new and duplicate development work, and the additional
testing required to ensure proper functionality would “be better used to
ensure the highest possible quality of core features and not just
validate database-to-database equivalency.”
Some customers might opt to run a Windows emulator on their Mac
servers—and virtualization is a viable choice, Pearson said, especially
for smaller school systems.
Richard Bowler, director of technology for the Hardin School District in Montana, said his district opted to install Parallels Server for Mac 4,
a virtualization technology optimized for Apple server hardware, which
installs directly onto existing hardware and its host operating system
and consolidates Windows Server applications on Apple hardware.
Bowler and his staff soon will move their district’s PowerSchool
database from its existing server to the virtualized environment.

We chose to have Pearson host our server instead of replacing our Mac server.  Pearson just migrated our server over last Monday.

If we had chosen to purchase a PC server, it would have been our 3rd server in 6 years.  With Pearson continually changing hardware requirements, we figured we would save money in the long run by having Pearson host our server.

Somehow, someway after I upgraded, when a secretary goes into a student and clicks the auto assign id's and passwords for this student, it is assining the password as 5 letters and the id as 5 numbers.

Prior to the upgrade, the password was numbers and the id was letters.

I know there is a setting that I can set so that this will alway default to the correct letters or numbers, but I have looked everywhere and can not find it. Anybody know where this is.

I just saw this the other day.  When you do a group  password assign, you get a box that asks several questions about how you want them set up, including whether it is letters or numbers and the length of the string.
