still looking for field names for Special Programs to be able to IMPORT, if that is an option.

We exported the old State Special Programs info to see what was there.

Since it comes OUT we hope to be able to IMPORT back in data instead of marking all those fields one by one for students.

ANYONE know the PS field name for
-ProgramsCode
-BeginningDate
-EndingDate
-Participation Info Code

these are the column header titles from the export : Start Page > Reports > Reports (State Reports) > Program Fact

THANK YOU!!

This is and export/import for Career ED, but the same premise.  AS EC used the program and participation info code as well. Hope this helps.

Is anyone else having a problem with the NSSRS Student Summary Attendance getting stuck in Report Que in PowerSchool?

I have tried it with the entire school and with just a couple of grades and it will not finish processing.

I have restarted ReportWorks and that finally stopped it (it would not cancel either).

Any thoughts?

Thank you

The reason was the PS update that came out on 6-8-18 - PS was supposed to apply the update but did not - even though I reported the issue to them earlier in the week.

Aimee Muehling let me know that this is known PS issues, they released the fix late Friday. The fix came down with the security update. If you run the latest release that will fix the problem see below

It is now corrected.

Hello

I am looking to find out how other schools report Non-Public Students Receiving Assistance and have them set up in PowerSchool.

We have students attending parochial schools but receiving speech or title services from our public school.  They are at a 0.05% FTE in our PowerSchool.

The way it has been handled is that the students are in our PowerSchool in a bogus "Grade 15" and reported by manipulating an Excel spreadsheet uploaded to NDE.

These students would pull on the Sped Snap, Prog Fact, Title I reports.

                         - as we all know, that will not work in 2018-19.

Hoping someone has some advice to prepare for future NSSRS / ADVISER Reporting.

Thank you!

Kristy,
In Columbus we have the parochial schools listed in our PowerSchool.  We do Census reporting for Platte County. Any non-public student that is receiving Title or Sped services are in the non-public school they attend. We get a list of students from the non-public secretary at the beginning and in's & out's during the year.  We have our school number listed in the alternate school field on Schools/Info in District office.  We use the elementary school number that is closest to the non-public school (we have 5 elementary schools and there are 6 non-public elementary schools).  If you have any questions, call me at 402-563-7000 press 9 ext 11584

Suzanne

Thank you Suzanne!!!!

I will be giving you a call to talk this through more.
It has been tough to wrap my head around...

All Power School Users,
Please note there will be a PowerSchool session on Monday, April 16th at the NDE Data Conference from 4pm-5pm in Crystal 4.  Tuarab from PowerSchool will be there to introduce the new Incident Management update and answer any other questions you may have regarding ADVISER and/or State Reporting.  Other state Power School experts will also be on hand to answer questions and help.

Hello.

I'm trying to create new NE Reporting Store Codes at one of the school districts I serve.  After entering a store code, I click Submit, but then a blank screen is returned. I've checked relevant setup screens at each school in the district, but I don't see any anomalies.  I've reset the tomcat service, but without any success on my original endeavor. Any suggestions?

I found the same thing at a couple districts, but was able to create it successfully at other districts. All of them are running the latest version, 11.0.3, some hosted by PS and some on the school's server.

I didn't see anything out of the ordinary at the districts where the terms wouldn't save. I contacted Tech Support and they escalated the case, #03147714.

Thanks,Wayne   I'll just wait for a resolution.

This is a server issue and the district I was working with was hosted, so the hosting team had to run a script on the server.

If you are experiencing this issue you need to open a case with Tech Support and reference PowerSchool SaaS case number 03150959.

Here is what was documented in the case:
-------------------------------------------------
Please run the following scripts to fix a failed table migration

Delete as PS user

delete from customfieldmigrationhistory where fieldsetname= 'State NE ReportingStoreCodes';
commit;
delete from prefs where name = 'State_NE_ReportingStoreCodes';
commit;

And then let me know so I can re-run the migration
-------------------------------------------------

FYI: I was told the terms were created, but they were just not visible. So I assume even if you couldn't see the grading terms, you could run the Grades report successfully if you created the terms correctly.

NSSRS folks,

We have noticed an issue with the Student Grades report when a student has stored grades for a dropped section. In this case the record on the report will have a blank Staff ID, the PS course number will be in the CourseCodeLong field instead of the State’s course number (Alternate Course Code field) and the SectionCodeLong field will contain the SectionID of the Section’s table record, not the section number. The SectionCodeLong issue may not cause a problem, but the issue with the Staff ID and CourseCodeLong will cause errors with the State. The good news is this report isn’t due for a few more months and we’re sure there will be a fix fairly soon.

For your reference, there have been two cases submitted to PowerSource on this issue, #02732523 and #02732799.

Hi,

We are new to PowerSchool this school year and we would like to start keeping track of staff information for the NDE reports in PowerSchool. We would like to enter staff information this summer so that we can run the reports out of PowerSchool next school year.  We tried to run the Staff Demographics, Staff Position Assignments, and Curriculum extract. But when I open any of these reports they all say (No Records Found).

I assume there is a bunch of fields we need to set in PowerSchool for the reports to come out correctly. Does anyone use PowerSchool for Staff State Reporting? Is there a "how-to" document in on how to set up all the fields correctly in PowerSchool to make these reports work?

Adrian,
We currently use PowerSchool to do our Staff reporting for NDE.  You need to make sure on the Faculty Information page that you have the Master Staff Record Indicator set to YES for any staff you want to report.  That field is the KEY that tells the reports to pull data for that Staff person.
The Staff Assignment screen must be filled out for the Staff Assignment report to work.  Email off list and I can help you more if you would like stevensons@discoverers.org

Suzanne

Hi Adrian,
We provide PowerSchool support to 24 school districts and I don't know of any of them that use PowerSchool for the staff report.  For most it is much easier to make the few changes each year in the NDE Portal as opposed to maintaining the data in PS.  I did check with NDE too to make sure the staff report will not be changing with the new data dashboard and they said it will NOT. So districts can continue to report staff the same way they currently are.

I installed the Nebraska State reporting update 14.12.2

Don't Do It!!!

It messed with all the primary disability codes.  the (00) No Verified Disability code is gone so all students with that code have defaulted to (01) Emotional Disturbance.  We are still investigating, and have called Tech Support.  Wanted to get this out as soon as I could .

I will keep you posted.

What is the process for utilizing the Program of Study Report through powerschool?  I have not been able to figure out what I need to check or add within our courses so that Powerschool will pull them correctly.  Any assistance on this would be helpful.

How do any of you handle putting Summer Drivers Ed into PS? I thought I'd create a summer school, but that turned into way too big a job for just a dozen or so kids.

In the past they've just been added with the grade they received into Historical Grades, but that doesn't pull the teacher's state ID.

They take the driving portion in the summer after 8th grade but get high school credit for it. I want to make sure that however I do it, it shows up right on their transcript and also pulls correctly for the Grades report.

Any input is appreciated. Thanks in advance.

Peggy,
I just put them in as summer school grades when sending those into the state you do not need a teacher ID number for state reporting.  That is how we do it in Columbus.
The Summer School Student Grades template has you leave the Staff ID field blank.

Suzanne

Suzanne, do you make a different store code for that then?

No the high school just uses S2 but they add Summer School to the Course name which then wipes out the Course number so someone has to manually enter what the course number is.  So you could use a different store code so the course number stays.  When the Guidance changes the course name I export the list of classes then send it to them to enter in the correct course number because they were the ones that wiped it out in the Historical grades.  Usually around 30 or so records they have to fix.

Has anyone noticed that the State/Province screen has changed.  The field for Alternate assessment prompts you to answer  "No for all student below Grade 03" but does not allow you to choose No as an answer.  I thought that maybe when I ran the report it would populate with a 2 but that is not the case....the field comes out blank.  (This is for just the student's screen I have changed this year....the screen that hasn't been touched is pulling correctly.)
When I looked on PowerSource at the Nebraska Extract Guide, it shows that the alternate assessment field is not being collected (Line 23) but the state documentation indicates that it is (which I believe).

One more thing, when I extract the report it is still pulling column 48 for Surrogate Appointed.  In the 14-15 template instructions, it is no longer asking for that information.

Any advice or suggestions would be appreciated.  I know I could manipulate the data once it's been extracted but would like it to come out right from PowerSchool.
I appreciate this group!

I stopped putting that info into PwrSchool and pull it straight from SRS (found out some things were "lost in translation" from what was in SRS  on the IEP & the info our teachers gave me to put into SRS  (IE % of time with regular peers -vs- sped peers ---some people read that kind of question differently and have #'s from different areas of the IEP)
.
The SRS export pulls it exactly as it is in the IEP.
.
One problem in that though is if there is an error (or "red mark" in SRS) that student will not pull on the NSSRS export until that is corrected.  We are finding it is usually the IEP is just over 1 year or the MDT is just over 3 yrs.
.
So might need to get in the habit of uploading to NDE monthly to keep those current.  Hope that helps...& hope I don't run into issues with the way I do it...Thanks!

Lori,
You need to open a case up in PowerSchool so Dawn Colon our state person can fix it .
I have not updated my State reports yet so I have not run any reports yet.

Thanks Suzanne...I can sure open up a case.  Do I just do it through PowerSource and tag it a state reporting issue or do you have a way to contact Dawn directly?

Where do you designate a student as HP instead of PK in PowerSchool?

I believe on each student on the State/Provine - NE page

(under Information on the left hand side)

Half-day Pre K  --change the drop down to YES for each student

This can also be done on the Transfer Info page at the bottom
When you choose Yes or No to the Part time Kindergarten or Part time pre-school.

The Unique ID extraction file still shows the grade level as PK even though Half-Day Pre-K is selected in PS.  How can the extraction pull out the HP grade designation? I've imported the extracted file into Excel, changed PK to HP and then converted file to .txt for upload. I'd prefer the extracted file to show HP as the grade level, not PK.

Anyone else here have students from out-of-state school districts enrolled? Do they get an NSSRS Unique ID? I'm at a private school that has not yet requested the Unique IDs (I know, I was surprised, too!) and now I need them. But at my previous school, we didn't have out-of-state students.

Do you pull them out of your state reporting data before you upload to NDE? How do you handle districtofresidence field? We have a couple of students from Iowa and I found Iowa school district codes, but I'm not sure what's going to happen when I upload them to NDE for NSSRS Unique IDs. Any thoughts? TIA.

When we have students from other schools the State has always asked who does the assessments if it is not you then don't report them.  Do you assess these students or do they just take a class at your school.  If it is just a class then I would not report them.  But I would put in a helpdesk ticket with NDE to find out for sure.

Suzanne

As a private school, we aren't required to do state assessments, but these students attend Marian full time. I need an Uniq-ID for them in order for a counselor to order an ACT-type test that's mandated by our archdiocese.  I'll submit (another) help desk ticket. Thanks, Suzanne.

Jane, I have used this document a lot when I come across these unique situations.  It sounds like these kids would maybe fall under the "contracted in" status (NDE may tell you different?).  But the document tells you what templates the student should be submitted on.

This has probably been talked about a number of times, but I haven't been able to find the discussion.  I am running (attempting to run) my Student and School Enrollment reports.  They are stalling.  It shows an NA under Started and Pending under Status.

I am sure there is something I am forgetting.  Can anyone point me in the right direction?  Thanks  so much.

Go to System > System Settings > Reset Server. Check the box for Restart the OLAP tomcat service (includes ReportWorks) then select Restart selected services now. Might take about 5 minutes.

I have a couple of rural school kids who are going to take Driver's Ed via DL. I used Enroll in Another School to get them in the class. What I'm worried about is Attendance, ADA/ADM, and anything else that would affect NSSRS. Does anyone have any experience with this and have any advice for me?

We have a student that only takes band with us. We do report the student in NSSRS.  He has a FTE of .2 so he doesn't really count because the FTE must be 50 percent or more but we do all the templates for them.

When I run the audit file for Student Grades, any students at the high school who have withdrawn from a section after grades were stored for first semester have the entry for that grade one column off. It appears to happen with the teacher name. It sees the comma that separates the last and first name and then shifts everything over. In the column for Course Code Long, it puts in the Course code instead of the Alternate Course Code. In the Section Code Long column, it replaces the section number with the Section ID. It also happened for the extract file, except that it doesn't shift the data over.

I reported this to PowerSchool and it moved all the way up the food chain. This is the response I got today:

The issue you have reported in case number 01363418 has been identified as a new or existing application defect.

I do not have a workaround for this issue at this time as the report is not correctly handling dropped classes.

Your case information will be associated with the existing development ticket, for tracking purposes. The case will remain open until the defect has been addressed in a PowerSchool release, at which time you will receive email notification and the case will be closed.

Just thought I'd give everyone a heads-up in case you run into the same thing.

I thought I would try to get ahead with state reporting, and pull the Student Grades Report for S1.  I can't pinpoint what I'm doing wrong, as I am able to pull our ES and our MS information, but not the high school.  I've tried being in the S1 term, I've tried being in the year-long term, I've tried being in Q3 term, and I still get nothing for the HS.
Any suggestions?

Do you have the settings at District > Schools/School Info > select the high school > Reporting Store Codes. I entered Term 2012-2013 with store codes S1,S2, Term Semester 1 with store code S1, and Term Semester 2with store code S2. If you have any Quarter long classes, you will need to enter Quarter 1 with Q1, etc.

I don't understand why the ES and MS exports, but it appears that these need to be entered each school year.

Thanks Sharon, it looks like problem solved :):):)

I have some students that left our district during first semester, or right at the end.  On the grades report starting with teacher name-in the teacher name it only shows the staff member's last name, then their first name shows in the staffid column.  Everything else in the record moves over one column with that.
This affects all students that left our district during S1, regardless of exit date.
Any suggestions on this?

I feel I ask this question every time I do state reports.  So here I am again asking.
What start and end dates do you use for the following:

Student
School Enrollment
Year End Special Ed Snapshot
Title 1
and all the Program Facts
