Is there a way to set PowerTeacher PRO to allow teachers to take attendance after the current date (like there use to be in PowerTeacher)??

We have an afterschool program that does not always get done with attendance that day - she comes in early to prepare and hoped to be able to get caught up on the previous days attendance but I cannot see where I can adjust this in PTPro.

Teachers take attendance in the teacher portal, which is called PowerTeacher. There are two gradebooks: the old PowerTeacher gradebook and the new PowerTeacher Pro gradebook. 

So teachers are still taking attendance in PowerTeacher (the portal, not the gradebook) like they always have. The setting for determining when teachers can take attendance is still under School > Preferences.

I was there  under School > Preferences, but it was not seeming to work.
I had to update my browser and it worked but I had to choose "Number of school days teachers may alter
attendance prior to current date (PowerTeacher)" to make it give me days in the past.

Has anyone else noticed that the Teacher Attendance Submission page will not display who has or has not taken attendance until mid-morning?   

We try to check by 8:30 am so we can start prompting teachers to take attendance and then calling to see where absent students are.

I wonder if there is a time setting someplace or something that PS can adjust?

Ours displays right away.  I also check every morning to see who has taken attendance and it is showing up for us.

MAYBE this is it????

I found in the PS Community that someone else said "Teacher Attendance Submission Status report does not display correctly in 19.11.0.0" 

     We are on version 19.11.0.0
They did not say what was not working but ? the response was: 
A Fix has been released in PowerSchool 19.11.0.1.

I have two PowerSchool issues going on today and I'm wondering if they might be related or fixed by running a special operation. One student who is marked absent isn't showing up when we run the Absentee Report at Start Page > Attendance > Absentee Report. Another student isn't showing up in one F grade search, but appears in another F report.

Things just seem goofy. Is there a Special Operations function (under System > Special Operations) that I could run? We have a banner that says we were to be updated to 19.4.5 last Saturday but I see we're still at 19.4.3.

Have you tried Special Functions >Attendance Functions and then Refresh Premier Attendance Views Data. May help with the attendance.  Do not know what to tell you about the grade issue.  Sorry.

Thanks,  Kris Just ran the attendance refresh and it didn't fix the attendance issue. :-( It's weird because other reports find the student. I think this is a custom report but it's used every day. I don't know why it would suddenly not work.

Does anyone have a process that auto-triggers an attendance email after a
specific number of absences, preferably listing the classes?

Our dean of students is looking for an easier way to notify parents when a student has been absent 6 or more times for a course, and then again at 10 or more times.

Right now, she can run a report (PSCB Custom Report > Meeting Attendance - Search by Frequency) to see the names and classes missed. From there, she can use the Multi-Select feature to pull the student names, use the Build Email List customization and send a generic email about attendance to the parent/guardian.

She wants an easier process that will allow her to list the classes missed in the email.

Any suggestions are greatly appreciated. We have School Messenger but after talking with my co-worker who manages that, I don't think that's an option.

We don't have a totally automated way, but we've setup a way that doesn't take much work. It uses the special search function, attendancepoints. for your attendance level of 6, you would search *attendancepoints > =6. This requires all the attendance codes you want counted to have their Attendance Points set to 1. A custom field would need to be created to contain the date the 6th absence email was sent. You can create a stored search for each level, ex:

*attendancepoints > =6
Attendance_email_6 =

This would find all students who have 6 or more absences in a period and has not received an email for the 6th level. After the email is sent to these students, you would use the Student Field Value to enter the date into Attendance_email_6. 

This would find students the first time they reach 6 absences in any period, so it would not find students when they reach 6 absences in each period.

You would do the same for the other levels, such as 10.

This year we are adding a zero hour into our class scheduling.  Not all students will have to sign up for a zero hour class.  For instance, the kids that play JH sports will sign up for the zero hour as part of their PE credits. Some of the zero hour classes will be for HS students as well.  Not sure how to set it up where the attendance data reflects that this is an extra period.  

Does anyone have any experience with setting up something like this in PS?

Do no add the 0 period to the bell schedule. That will make it a non-attendance period. 

So, how should I add it in.  It will be classes that take attendance and grades.

I'm sorry, I misunderstood. If you are going to mark attendance in that class, this process would not work.  For me, I would assign those students a different FTE with a different attendance conversion to calculate the attendance correctly for those students.

Is anyone else having issues with attendance not clearing from the database after you change it on the attendance page? It's not a huge deal to go to DDA and clear it out, but it should work better than that.

What version of PS are you on? We just upgraded to 12.1.4 and nothing's been reported to me (knock on wood).

Here's what I found about attendance, not sure it's related to your issue: 
When using the Attendance Change function to create attendance, comments are being copied from another period and saving them with the attendance record that it created. This issue is now resolved.

Is anyone else having a problem with the NSSRS Student Summary Attendance getting stuck in Report Que in PowerSchool?

I have tried it with the entire school and with just a couple of grades and it will not finish processing.

I have restarted ReportWorks and that finally stopped it (it would not cancel either).

Any thoughts?

The reason was the PS update that came out on 6-8-18 - PS was supposed to apply the update but did not - even though I reported the issue to them earlier in the week.

Aimee Muehling let me know that this is known PS issues, they released the fix late Friday. The fix came down with the security update. If you run the latest release that will fix the problem see below

It is now corrected.

Go to System>Special Operations>Load Server Reports

You can run the ADA/ADM report for any year by simply changing the term.  Not sure if that's what you are looking for.

I'm not sure what they need. It's for the Blue Ribbon School application, I think. I was able to run the ADA/ADM by Date report under System Reports. Is that the report you were referring to, Kris? 

I'm being asked if there's a report that shows attendance as a percentage. Any ideas?

The high school I'm at has been doing both period attendance and daily attendance. Really wonky and no one has been able to explain why. So we have a new principal and she wants to change to just period attendance. Do most high schools use period attendance? Can anyone think of why we would not want to switch to period attendance for the new year? Thanks!

At our high school, we use only period attendance.  It works very well for tracking attendance and tardies.  We use daily attendance for our elementary only since they do not go by periods.

We use period attendance also the only thing to be careful with is setting up your attendance conversion it can only be 1 decimal place for NSSRS reporting.  We have 9 periods so it is set up as 1 period missed is .8, 2=.7, 3=.6, 4=.5, 5=.4, 6=.3, 7=.2, 8=.1, 9=0

I had a request at NEPSUG to post the attendance reports that prints the attendance comments. I found these on a web site, but it looks like they are no longer posted. I am attaching the zip file for the two reports called Student Attendance List.rpt and Attendance Detail - Students.rpt. They are similar but different in format.

Save and unzip the file. Go to System Reports > Engine tab > Load One Local Report. Select Browse and find the file to import. Select Import. Repeat the process for the second file.

You have to go to System Reports > Engine tab to run the reports.

Let me know if you have any questions.

I have a couple of rural school kids who are going to take Driver's Ed via DL. I used Enroll in Another School to get them in the class. What I'm worried about is Attendance, ADA/ADM, and anything else that would affect NSSRS. Does anyone have any experience with this and have any advice for me?

We have a student that only takes band with us. We do report the student in NSSRS.  He has a FTE of .2 so he doesn't really count because the FTE must be 50 percent or more but we do all the templates for them.

I am having a few issues with attendance at our district.  Some of the schools had errors in the calendar setup, some had scheduling issues and errors, and etc.   I am trying to fix everything and get it going before our Student Summary Attendance reports are due.  Out of five schools, I think one is working correctly and has everything set up as it should be!    I know part of our issue is incomplete schedules at one school.   However, I have an issue with one day at the high school that shows a zero for attendance in the ADA/ADM for all students.   The date is the last day of school, shows in-session, shows the correct day and bell schedule, yet when you look, it is already showing no attendance for students that day.    I am including a screen shot here:  (The date in issue is 5/20/14.)





 Any ideas?

Have you checked that your calendar shows 1 for Membership Value?

Membership (your 181) is calculated from the Calendar's Membership Value.

Attendance (160.2) is calculated by the Attendance Conversion that is attached to the Bell Schedule that is set for the specific day in the calendar.

For 5/20, where the Attendance value is 0. I would check the Attendance Conversion associated with that day's Bell Schedule.

Also, the Membership value and the Attendance values should equal for days in the future. The 16th & 19th has 1 membership point, but only allows 0.8 of an attendance point.

Remember to refresh attendance anytime you make a change to the attendance setup.  Special Functions > Attendance Functions  > Refresh Premier Attendance Views Data.

I ran the refresh attendance and I still get a zero in the day for May 20, 2014.   So, when you print out a report, it will show every student has an absence already.   My calendar set up looks the same for that day as the days before.  I wanted to attach a screen shot, but can't in a comment. 

The .8 days are because this particular student has an incomplete schedule on top of this other issue.  It's really fun here this year!!!!

I sent this into powersource, but really need an answer more quickly than their recent response times have been!

Does anyone use the attendance tracking at all?  If so, thoughts?

Also, is there an easy export to get students with more than 5 days absent, etc?   I think I have it, but just want to see if there are better ideas than what I am doing.

Hi Joan,

I find that attendance tracking does not work for us after 1st semester as we start counting over again at the beginning of 2nd semester.  We send letters to parents when students get to their 6th absence and again at 10.  So this is what I do:

I set up a custom page called Attendance with 2 fields on it.  6th Attendance Letter Sent (field name 6attendance) and 10th Attendance Letter Sent (field name 10attendance).  Then I created 2 stored searches:
1.  6th Absences with the search criteria of:
         *attendance_points>=6
         6attendance=
2.  10th Absences with the search criteria of:
         *attendance_points>=10
          10attendance=

When I run the search it looks for anyone with 6 or 10 absences and does not have a date in the letter sent field.  I then send the letter and enter the date in the letter sent field. 

This works well for us, but I am certainly open to  anything easier!  Please share if you find something wonderful.
        



I've never used it nor set it up, was trying but not getting it to work correctly.  We are needing some way that is not too difficult to find students who have missed 5 days or more, and 10 days or more....we use period to day as our attendance mode.

Does anyone know how I can change the timeout option for PowerTeacher Attendance? Teachers would rather not have to log in each period to take attendance, which they never had to do until recently. I haven't changed anything, but maybe a recent update might have triggered something. Pearson Support told me to change the time at School > Attendance Preferences > Interval Duration. This didn't work; teacher still has to log in. Any ideas? Not a pressing issue. TIA.

Ours is doing the same thing only it's also logging out Admin too. I went in and change the Time Out to 90 minutes and it is still logging us out after about 15-20 minutes. I guess I will need to call tech support :(

If teachers were to take attendance via their gradebooks, it looks like you can make the sort of desired setting via PT Administrator>Gradebooks>Preferences.  But that might log you out after a few minutes regardless of what you set as well.

Of course, the value of a secure website is diminished if it is just left open on desktops all day, including when teachers may not be in their rooms monitoring their computers.

We are experiencing the same thing.  My teachers started coming to me on Monday with this issue.  I tried adjusting the settings as well with no luck.

I have a few teachers that cannot take attendance in some of their sections (classes).  The single day attendance doesn't show anything:

I looked at the sections and courses, but don't see anything there different ... anyone have any ideas how to fix this? 


It's been crazy this year...I think the craziest start ever to a school year!

Mine is doing the same thing, but only at the elementary.

I had one teacher with the same problem.  My issue was that I deleted a kindergarten student that did not show up and is going elsewhere instead of un-enrolling him. Thinking "He was never here, has not grades, no big deal just delete".   A mistake I will not make again!!!  Therefore he was still enrolled in classes in the CC table confusing PowerTeacher.  I had to find his records in the CC table and delete them.  Solved the problem.

Just saw this on PSUG.  May be just what you need, and much easier than what they had me do!

steps from support which resolved the problem for us:

System > Special Operations > Set Synch to Non-Atomic Mode (turn off)

System > Special Operations > Clear orphaned student schedule records

System > Special Operations > Set Synch to Atomic Mode (turn back on)

How do you change the sort order of periods? I'm going to School Setup > Periods > Edit Period but I'm not able to change the sort order. The attendance secretary wants the attendance period ("Period Z") listed first, as it was last year. I've looked at last year's Periods and Period Z shows as 9 in the sort order. Is there a way the attendance secretary can sort periods on her end? TIA!

On the Periods page, click on the Period Number you want to change and drag it to the new order location you want.  The sort order will re-arrange itself.

I spent an hour trying to figure that out? Too simple! Thanks, Ray. :-)

Does anyone know how to arrange periods on the quick look up screen?  Mine are showing up 2,4,7,1,6,5,3,8,9....haven't had this happen before.

This year, our freshmen are required to stay on campus during lunch and the high school wants attendance taken.  They were wondering if there was a way to keep track of attendance by punching in the lunch number so staff would not have to take attendance.

I did make a period for lunch.

We serve alacarte lunch, so I set up "brown bag" lunch in addition to the regular menu items, so they could punch in and not have any cost assessed if they do not actually eat from the lunch room.

However, it does not really differentiate the grade levels in the lunch reports.   I was thinking we may have to run a lunch report for freshmen each day and then put in attendance from the office.  Not ideal.

Any thoughts on this?

I have an ADA/ADM report that I ran for my HS and it shows 170 membership.  When I run my attendance summary to upload to the state, I show a total of 171.5 (when I add days present and days absent).
After counting calendar days less snow days, I show I should have 170 days total.  I am wondering if something in my conversion is wrong...
We have an 8 period day plus an additional period that we have labeled advisory instead of a number-so it's essentially a 9 period day.  
Any suggestions??

I figured this out for us.  PowerSchool is rounding up our quarter days, .25 became .3, .75 became .8.  I had to correct this in Excel for now.  We will correct our conversions in Powerschool to reflect the one decimal place limitation at the state.

I am trying to print the attendance report with any comments that have been made on a student.

For example - if a student is absent for one class because of a doctor appointment our secretary comments on that one absence so that we know why that student was gone.

Is there any way when we print the attendance report to include those comments for the student in the report??

There are some reports on PowerSource. Click on the Community tab, then the PowerSource Exchange button. Search for attendance comments. There are different ones you can look at to see if it is what you want.
